7.4.2 Purchasing information

Purchasing information shall describe the product to be purchased, including where appropriate

  1. requirements for approval of product, procedures, processes and equipment,</ li>
  2. requirements for qualification of personnel, and</ li>
  3. quality management system requirements.</ li>

The organization shall ensure the adequacy of specified purchase requirements prior to their communication to the supplier.

Essentially, this clause is talking about “Request for Proposals” (RFPs) or similar documents (requisitions and purchase orders) within an organization. Typically, an organization will send out specific requirements of exactly what they want concerning a product or service, when they want it and their expectation of the vendor’s qualifications.

In short, the standard requires that when you are purchasing something, your order must be clear and contain all the relevant information—including personnel qualifications and quality management system requirements—to enable the supplier to supply you with exactly what you want. Additionally, someone must review and approve these purchasing documents for adequacy of specified requirements before release.

It’s a good idea to have a documented procedure to outline exactly what should be included in purchasing documents.
